HOTEL T&Cs

ADVANCED PURCHASE RATE

Advance Purchase Rates are available 7 days or more before the date of arrival and are fully prepaid at time of Booking. Advance Purchase Rates are non-refundable and non-transferable. The credit/debit card used to book the Advance Purchase Rate must be presented to Reception on arrival at the Hotel.

ARRIVAL & DEPARTURE

Your room will be ready from 3pm of the day of arrival. Should you arrive early you are welcome to use the Hotel’s facilities and we will do our best to get your room ready as soon as possible. In the interests of security and to prevent fraud, at the time of check-in, guests may be required to confirm their identity by providing their booking reference and their passport, identity card or driving licence. On your day of departure, use of your room is available until 11am unless otherwise arranged with Reception.

BEST AVAILABLE RATES

To offer our guests the best available price on any given day of the year, we operate a dynamic pricing management system that enables us to guarantee you the best quote for the period of your stay at the time of your enquiry. 

BOOKING AGREEMENT

Upon booking, a non-refundable deposit of 25% of your stay is payable, unless it is for an Advance Purchase Rate which is payable in full. This will secure your reservation. The balance is due 28 days before your arrival and will be deducted from the credit card used for the deposit. Please have the card that you used for the reservation payment with you. Should you need to cancel your reservation please email Reservations at bookings@atltantichousepolzeath.co.uk. 

During the peak season times we only accept a minimum two-night stays at weekends and three-night stays over bank holiday weekends. One of these nights will be on a Dinner, Bed & Breakfast basis. If your booking includes dinner, a preferred dinner time is allocated automatically. If you have a preference, please contact the Hotel to confirm. We cannot guarantee a table in the restaurant in the evening for guests on bed and breakfast terms and you should contact Reception or the Hotel Restaurant direct to make a reservation. Please note that the Dinner Bed & Breakfast price being offered cannot be guaranteed should you not complete your Booking at this stage. Menus are subject to change and are provided for indicative purposes only.

Rates which include breakfast offer a choice of cooked breakfast in The Atlantic Bar with tea or coffee, unless stated otherwise. Rates which include dinner offer a daily Table d’Hôte menu or an allowance can be allocated towards dining from the à la Carte menu. There is no refund for meals which are not taken, and lunch cannot replace dinner unless pre-agreed with Reception.

All rates featured on the Website or quoted by telephone or otherwise are offered subject to availability and we reserve the right to refuse any booking for good reason. All prices are subject to availability.

If, due to exceptional circumstances, we are forced to cut short your stay, we will reimburse you in full for nights not taken and make every effort to find you alternative accommodation. We cannot be held responsible for any further costs incurred by you as a result. For the avoidance of doubt, your booking price does not include any incidental charges which you may incur during your stay. Such charges will be payable by you on your departure and in the event that you fail to pay any such incidental charges you irrevocably authorise us to debit your credit or debit card the full amount of any shortfall. Any expenditure in The Atlantic Bar is payable direct and cannot be charged to your booking.

Failure to comply with any of the booking conditions may result in the party being asked to leave immediately. We reserve the right to refuse any bookings without explanation.

CANCELLATION POLICY

All cancellations must be confirmed via e-mail to bookings@atlantichousepolzeath.co.uk. If you do not receive an acknowledgement, please telephone Reception to ensure that your email has been received and noted. Without written notification that your cancellation is acknowledged by us, the full charge will be deducted.

There will be a refund less the 25% non-refundable deposit if the booking is cancelled more than 28 nights before the day of arrival. 50% of the whole payment will be retained if the booking is cancelled within 28 days of arrival, but more than 48 hours prior. The full charge for the whole booking will be retained if less than 48 hours’ notice is given for the cancellation. A refund will be made for any nights that are resold, less the non-refundable deposit. We reserve the right to utilise the PCI (Payment Credit Industry) transaction code from previous payments for any outstanding balance in the event of cancellation or non-attendance.

For group bookings of 4 rooms or more within the same party, the cancellation policy is extended to 42 days.

We recommend that you have adequate travel insurance in place to cover any unforeseen eventualities.

CAR PARKING

There is limited and free parking available at the front of the Hotel on a first come basis all year round. During the months of March to October, strict parking regulations are in force in Polzeath. You can park to the rear of the Hotel to unload on arrival. Reception will do their best to assist with parking but if busy they will direct you to the public car park a short walk away, one road behind.  

CHILDREN & BABYSITTING SERVICE

A baby or child under the age of three can stay free of charge when sharing a room with one or two paying adults. Availability of suitable rooms is limited, and a portable bed or cot will be used. The Hotel will determine whether a room is suitable for the purpose of this offer. A portable bed is available for children up to the age of 12 in some rooms at an additional charge. Children staying in their own room whether interconnecting or not will be charged 100% of the full adult rate paid by the accompanying adults. All children (a person under 18 years of age) staying at the Hotel must be accompanied by an adult and must be supervised by an adult at all times. The safety and wellbeing of all children is solely the responsibility of the parents/guardians.

Reception can provide parents with details of local DBS certified childminders who can offer a babysitting service. Baby listening facilities are not available.

COMPANY

DAMAGE

We reserve the right and you hereby authorise us to charge your credit or debit card for any damage incurred to your room or the Hotel during your stay at The Atlantic House (including without limitation specialist cleaning) or for any items that are missing or damaged when you leave. The PCI (Payment Card Industry) Code will be utilised. A photographic record will be sent to you with a list of the costs of replacement. In the event there is significant damage discovered after your occupation, this will be photographed and sent to you and the cost of replacement or other necessary works confirmed to you in writing.

DESCRIPTION

The Atlantic House takes care to ensure the accuracy of its property descriptions, but please note that they are for guidance only. If something goes wrong, please let us know as soon as you can and during occupancy, so we can discuss this with you and aim to put it right.

DOGS

Atlantic House operates a No Dogs policy. Dogs are not permitted on Polzeath Beach from March to October. Local and friendly Kennels offer a collection and delivery service for your family pet for overnight stays and are just a short drive away. Details are available on our Website and from Reception.

FACILITIES & MAINTENANCE 

We will generally close the Hotel for 4 weeks each year to carry out maintenance and refurbishment works. It may however be necessary during trading months to carry out essential maintenance works during your visit. We will use our best endeavours to keep noise and inconvenience to an absolute minimum. If such work is happening during your stay this will not constitute a reason for cancellation and standard cancellation terms will apply.

FOOD & DRINK

With the exception of baby foods, only food and drink that is purchased on the premises may be consumed on the premises.

FOOTWEAR

Please respect our new building and clean or remove dirty shoes before coming into the Hotel Building. Shoe covers are provided in the entrance by the lift and we will be very grateful if you and your family would use them and dispose of them in the receptacle provided.

GIFT VOUCHERS

Hotel gift vouchers must be presented on check-in or when paying for your meal. 

GOVERNING LAW

These terms and conditions shall be governed by, and construed in accordance with, English Law.  The parties irrevocably agree that the courts of England shall have exclusive jurisdiction to settle any dispute which may arise out of, under, or in connection with the terms and conditions.

GROUP BOOKING

A booking of four rooms or more is classified as a group and is subject to our Group Terms & Conditions of business, which differ from our Best Available and Advance Purchase rates. You will be given these terms and conditions at the time of booking.

We reserve the right to refuse bookings from Hen Parties, Stag Parties, and groups of young adults if we believe their presence may not be suitable for our other guests staying in the building. 

GUEST BEHAVIOUR

Guests are requested to conduct themselves appropriately and to comply with requests in regard to conduct and respect for the property of the Hotel, its employees and guests and their health and safety. Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the Hotel, or cause offence to other guests or our members of staff.  We reserve the right to refuse accommodation or services or remove you and members of your party from the Hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case we shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

GUESTS WITH IMPAIRED MOBILITY 

The Hotel has a dedicated bedroom including a wet room that is suitable for wheelchair users or other similarly impaired mobility. A lift is available to access all floors in the building. Reception can assist with parking in Disabled Parking Bays a short walk away. Guests with impaired mobility or other requirements should check with the Hotel in advance that their requirements can be met. Please call Reception direct for details.

HOTEL

Atlantic House Hotel is situated at Atlantic Mews, New Polzeath, Cornwall PL27 6US.

LIMITED LIABILITY

The Atlantic House will not be responsible for the loss or damage of any property left in the Hotel other than as required under the Hotel Proprietor’s Act 1956 or any other applicable law. The Atlantic House cannot accept responsibility for any material loss, damage, additional expense or inconvenience directly or indirectly caused by or arising out of the property and its plumbing, electrical or otherwise, or exceptional weather.

PAYMENT

Payment for the balance of your stay is payable in full 28 days before your date of arrival at The Atlantic House.  Please have the card that you used for the reservation payment with you. We do not accept Diners Club, Corporate Cards or cheques as payment. 

PRICING

We offer a full range of packages and pricing that will fluctuate depending on availability and demand at any given time. All prices are subject to change without notice and are subject to availability and are only inclusive of any meals, service or VAT (at the current prevailing rate) if specified in writing. Your price is guaranteed once you have received a confirmation number.

All prices will be shown on our Website and quoted in Pounds Sterling. Any payment collected online will be in Pounds Sterling. All prices are per room per night based on two people sharing and includes breakfast unless otherwise agreed.

RATES

Your room rate will be confirmed at the time of booking and cannot be changed once a booking has been confirmed. 

SINGLE GUESTS

There is no discounted rate for single guests. In out of season periods, a discount may be applied by The Manager at their discretion.

SMOKING

The hotel is entirely a no-smoking building, including the terrace. Smoking in a room will incur a deep cleaning charge of £200 to render the room smoke free again. We reserve the right to request the return of the room if this occurs again during your stay. No compensation for pre-payment will be available.

SPECIAL REQUESTS

Please let us know at the time of booking where special arrangements are required such as dietary, room location etc. and we will do our best to make sure we get everything right for you. Whilst every effort will be made to meet these requests, they are not guaranteed.

SURF SHACK

The Surf Shack is made available free of charge for you to use during your stay. There are storage racks for surf boards and body boards. There is no capacity for SUP’s and these must be deflated before storage. We reserve the right to remove these from the Surf Shack if stored fully inflated. The drying room, racks and showers are for your use entirely at your own risk. All children under 16 must be accompanied by an adult at all times. Please do not bring any surf boards or wet suits into the Hotel building. These must be stored in the Surf Shack.

VAT

VAT is included at the current rate of 5% up to 30 September 2021, 12.5% up to 31 March 2022 and 20% thereafter. These prices are subject to change if the rate of VAT is changed. The effective rate of VAT is determined by the rate at the time you make a payment to us.

ADDRESS

The Atlantic House is situated at Atlantic Mews, New Polzeath, Cornwall PL27 6US.

Your apartment will be ready from 16.00 on the day of arrival. Should you arrive early you are welcome to use the Hotel’s facilities and we will do our best to get your apartment ready as soon as possible. However, with Covid-19, it is necessary to carry out a full sanitisation of the apartment between guests. In the interests of security and to prevent fraud, at the time of check-in, guests may be required to confirm their identity by providing their passport, identity card or driving licence. On your day of departure, use of your apartment is available until 10.00 unless otherwise arranged with Reception.

CANCELLATION POLICY

If due to Covid-19, further restrictions are imposed and you are unable to travel to Atlantic House, we will process a full refund or offer you an alternative date. If you have booked via Airbnb we are not able to refund their service fee and you must make arrangements direct with them to recover.

CLEANING

The apartment will be fully cleaned and sanitised prior to your arrival and following your departure. A mid-week change of towels and short clean will be made unless requested not to provide. If you would like further housekeeping services these are available on request through reception.

If the apartment is not returned to us in a similar condition as found by you on arrival, we reserve the right to charge an additional cleaning fee from the security deposit to restore the apartment to its former condition. Photographs will be taken and available to support this additional charge.
